Terms of Service

These Terms of Service ("Terms") govern your access to and use of EventDesk, operated by Buena Vista Vision, Inc. ("Company," "we," "our," or "us"). By creating an account or using EventDesk, you agree to these Terms.

1. Eligibility

EventDesk is intended for business use by organizations, chapters, nonprofits, and professional teams. You must be at least 18 years old and have authority to bind your organization to these Terms. By using EventDesk, you represent that you have that authority.

2. Account Access

You access EventDesk using an email address and a one-time access code. You are responsible for maintaining the security of your access code. Do not share it with unauthorized users. Notify us immediately at hello@bossospro.com if you believe your account has been compromised.

3. Subscription Plans and Billing

EventDesk offers several subscription tiers (Solo, Team, Director, Autopilot, Enterprise) billed on a monthly or annual basis, as described on the EventDesk pricing page.

Billing cycle: Subscriptions renew automatically at the end of each billing period (monthly or annual) unless cancelled.
Founding member pricing: If you subscribed at a founding member rate, that rate is locked for the duration of your continuous subscription. Cancellation forfeits the founding rate.
Auto-renewal: By subscribing, you authorize us to charge your payment method on file for each renewal period.
Price changes: We will notify you by email at least 14 days before any price change takes effect.

4. Cancellation and Refunds

You may cancel your subscription at any time through the billing portal in your account settings. Cancellation takes effect at the end of your current paid billing period — you retain access until that date.

Payments are non-refundable except where required by applicable law. We do not provide prorated refunds for mid-cycle cancellations.

5. Intellectual Property

Our IP: EventDesk and its underlying technology, including the proprietary event management checklists (7 event type templates × 6-phase structure), AI agent systems, content generation pipelines, and all software, are owned by Buena Vista Vision, Inc. and protected by intellectual property laws. You may not copy, reverse-engineer, scrape, or reproduce any part of the EventDesk platform or its proprietary checklist system.

Your data: You retain ownership of the event data, speaker and sponsor contacts, content, documents, and other information you enter into EventDesk. You grant us a limited license to process that data solely to provide the EventDesk service to you.

6. Acceptable Use

You agree not to:

Use EventDesk for any unlawful purpose or in violation of any regulations
Attempt to extract, export, or reproduce EventDesk's proprietary checklist templates or event type frameworks
Scrape, crawl, or use automated tools to access EventDesk outside of authorized integrations
Impersonate another user or organization or provide false account information
Use EventDesk to store or transmit malicious code
Resell or sublicense access to EventDesk without written permission

7. AI-Generated Content

EventDesk uses AI (powered by Anthropic's Claude) to generate social content, run-of-show documents, speaker/sponsor outreach drafts, and post-event communications. AI-generated content is provided as a starting point and may contain errors. You are solely responsible for reviewing, editing, and approving any AI-generated content before publishing or sending. Nothing in EventDesk constitutes legal, financial, or professional advice.

8. Third-Party Integrations

EventDesk may connect with third-party platforms (such as Luma or Eventbrite) for RSVP data. Your use of those platforms is governed by their respective terms of service. We are not responsible for third-party platform availability or accuracy.

9. Service Availability

We strive to maintain EventDesk availability but do not guarantee uninterrupted access. We may perform maintenance, updates, or modifications at any time. We are not liable for any losses resulting from service interruptions.

10. Limitation of Liability

To the maximum extent permitted by law, Buena Vista Vision, Inc. and its officers, employees, and agents are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of EventDesk. Our total liability for any claim arising under these Terms is limited to the amount you paid us in the 3 months preceding the claim.

11. Disclaimer of Warranties

EventDesk is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to merchantability, fitness for a particular purpose, or non-infringement.

12. Termination

We may suspend or terminate your account at any time for violation of these Terms, with or without notice. Upon termination, your right to use EventDesk ceases immediately. Sections 5, 10, 11, and 13 survive termination.

13. Governing Law and Disputes

These Terms are governed by the laws of the State of California, without regard to conflict of law principles. Any disputes arising under these Terms shall be resolved in the state or federal courts located in California, and you consent to personal jurisdiction in those courts.

14. Changes to These Terms

We may update these Terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of EventDesk after the effective date constitutes acceptance of the revised Terms.
